Patient Sick Notes

  • The system allows you to create an electronic patient sick note reducing the time taken to write these notes on a pad.
  • The sick note allows you to select the recommended ‘days off ill’, type in your diagnosis, and indicate recommended ‘return to work’ date and a professional recommendation.

Diary Functionality with SMS & Email

  • The appointment diary allows you to block off appointment times for patients on their day of service.
  • Easy navigation to and from future, current and past dates.
  • Printing day sheets for planned appointments.
  • Posting transactions directly from the diary.
  • Blocking times for things such a lunch, meetings, golf and leave.
  • Arrival status allows you to indicate the patient has arrived, is a no-show, has arrived late or has cancelled their appointment.
  • A reminder of the appointment may be created. You have the option to send the patient an email or an SMS to remind them of the date and time of their appointment.
  • There is a rescheduling option which makes it easy to move the patients appointment time when necessary.
  • Automatic billing treatment codes can be attached to the appointment which assists you to bill the patient once the visit has been completed.

Billing Categories and Group Coding

  • Treatment categories can be set up in the slide-out shortcut bar whereby you can categorise your treatment codes in common groups as used daily. By simply selecting the category you will find the correct group of codes where you can make your selection of which codes to post to an account. No more searching through a massive list of treatment codes.

Patient Statement Messages

  • Allows the practice to add or edit a message for a specific patient and also allows you to print a copy.
  • Along with your standard ageing account messages a personalised statement message can be added to a specific person’s account which will only print on the account intended for that patient.

Bulk Payment Options

  • Payments can be allocated to patients that fall under one scheme in a bulk payment, which will assist busy practices.
  • Bulk payments are intended to assist the practice in loading a large group of payments received by one creditor, usually by a medical scheme. By selecting the medical scheme from the drop down list the system will load all the outstanding transactions and patients for that scheme where you are able to post your payments using your remittance advice.

Account Messaging Flash-Up Option

  • Users can insert notes for any communication between the patient, practice or medical aids. Allows you to edit, delete or print a report.
  • Day to day practice management requires the use of notes to record any communication between the practice, account holder, patient and medical schemes. Once a note has been recorded on an account the next time you access that account the note will flash on your screen to remind you of the previous communication relating to that account. This assists in ensuring the practice is always aware of the status of their accounts.

Birthday or Appointment SMS Messaging

Favourite Options

  • Allows the user to create Treatment Groups for the most frequently used ICD10 list and Medicine list.
  • Makes it easier to post on Add transactions when Billing the patients with only one click.
  • ICD10 Favourites list – You are able to create a list of the most commonly used ICD10 codes. This list is designed to make billing simple and as quick as possible. Once you have selected your ICD10 codes for your list, posting is as easy as double clicking on the required code. You are able to change these codes from time to time as the diagnoses change from season to season.
  • Medicine Favourites List – The system allows you to select your most commonly used medications and group them into an easy to use slide-out shortcut bar. This makes the posting of medication to an account simple and efficient.
  • Material Codes Favourite Lists – The system will separate your 0201 codes from your medication list making this easier for the practice to choose the correct item from the lists.

ICD10 Codes

  • The latest ICD10 Codes are loaded on the system. We ensure that we have the most up-to-date codes from the council and BHF.

Easy Tariff Coding

  • For practices that charge their own rates the program has a percentage update based on NHRPL. You can also manually update the tariffs.
  • Tariff price updates are done once a year for all practices. Our system allows the practice to take control and with a few clicks of a button have your prices updated to the new rates stipulated by the medical council. The system also allows you to keep your past year’s rates so you can easily go back and compare or change old accounts.
  • We have options to stipulate different prices for the same code according to what scale you need to charge your patients.

Benefit Schedule

  • This allows you to create specific pricing per medical aid. Additionally, we provide our clients with the Discovery Health rates as these differ from the national reference price.
  • Benefit Schedules allow the practice to set up a range of different pricing amounts attached to the same tariff code for each scheme. This pricing amount can be specific to each plan of each scheme.
  • By simply selecting which scheme and which plan to charge the system will automatically charge your desired rate stipulated for that scheme and plan.

Payment Allocation

  • The IKAT G3 software caters for different payment options such as partial payments, patients liable and over payments.

Short Cut Keys (Quick Keys)

  • Quick Keys help to reduce the time spent data capturing.
  • This allows you to abbreviate your address street names, suburbs and cities or even patient surnames, making capturing accounts simple and efficient.

Medprax Files

  • IKAT G3 imports Medprax which provides up-to-date medicine and Nappi codes.

Discipline Specific Features and Benefits

Anaesthetic

  • Anaesthetic Billing is made up of the following: Handles emergency codes 0011 and Time Billing 0023 or 0036, Hypotension control, BMI and Minimum fee adjustment.

Physiotherapy (Automatic physio modifier calculations)

  • The Physio Kit offers a single screen control for single or multiple conditions (0009/0010), overtime (0006), in hospital (0014) and automatic repeating transactions, called Cloning of transactions (including morning or afternoon visits). To meet Medical Aid requirements, the system produces either itemised transactions (1 per modality), comprehensive codes (1 transaction per treatment), or a combination of both! The task of costing modalities by hand is avoided, as are errors in calculation.

Physio Groups

  • The program allows practices to group treatments according to the type of body parts they are used on, for example Chest treatments - these can be common amongst many patients and the same codes are always used, which means that treatments can be grouped to serve that specific problem. The ICD10 codes can also be attached to them. With on simple click on the physio screen the program will post the desired treatment group together with the relevant ICD10 codes.
  • General Practitioner

  • Dispensing practitioners are well served by our dispensing mechanism, which, in addition to processing the all-important dispensing functions such as printing of labels, statements and scripts, can create a new script and search for an existing one.

Stock Order List and take-on

  • For dispensing practices there is the option of printing reports that will help them to keep track and update the stock on their shelf, as well as enabling them to print reorder forms. Essentially, the program allows you to do stock control and be in the position to draw reports for all the suppliers you use for stock ordering.
  • The system allows you to create a stock order list for specific medications or materials purchased from a supplier. This order list can be printed, faxed or emailed to the supplier. Once you have received your order, simply click on one button and the system will automatically update your stock levels, making stock control accurate and efficient.

Orthodontics

  • Our lab slip posting facility allows you to post your lab slips directly into your account; no more manually attaching these lab slips to the statements at the end of each month!

Estimates

  • Estimates are used to work out cost estimates for your patients. You are able to then email it to the medical aids. Thereafter, these estimates can be posted as a transaction. This means that once an estimate has been completed, the same estimate can be posted as a transaction LATER. This cuts the time for recapturing the transaction. (This applies to Dental across the board).

Specialist

  • We cater for different types of Specialists, for example Surgeons, ENTs, Dermatologists and more.
